Job Description

We are looking for an Administrative Assistant. This position will perform a wide range of accounting tasks and duties while learning the methods, processes, and procedures of our accounting functions. The administrative assistant will oversee the structure and set-up of all necessary accounts for our Parts/Service/Sales departments, as its necessary to control expenses and accounting to the overall Spokane operation.

The ideal candidate has a high school diploma or GED and previous experience in a similar position (accounting, administrative, clerical etc.). Candidates must have a pleasant and courteous personality, strong administrative and organizational skills, strong phone and computer skills, and excellent communication and interpersonal skills.

Responsibilities

  • Perform general accounts receivable and accounts payable functions
  • Prepare and submit customer invoices to the Corporate Processing Center
  • Verify receipt payments and prepare to send to the Corporate Processing Center
  • Coordinate deposit activities with the Corporate Processing Center
  • Monitor customer accounts for non-payment and delayed payments as instructed by the General Manager or Corporate Processing Center
  • Check, verify and process invoices
  • Prepare invoices for the approval process prior to sending to the Corporate Processing Center
  • Sort, code and prepare accounts payable data for the Corporate Processing Center
  • Check, verify and process repair orders and maintain the accuracy of total vehicle cost
  • Track and audit petty cash
  • Assist with employee expense reports
  • Perform filing and general administrative tasks as needed
  • Work with other departments/customers/vendors and the Corporate Processing Center as needed
  • Back up receptionist for breaks and lunch
  • Performs other duties as assigned

Qualifications

  • Must be at least 18 years old Excellent communication skills, verbal and written
  • Excellent communication skills verbal and written to interact professionally with customers, vendors, and staff
  • Helpful attitude and friendly demeanor
  • Basic knowledge of Excel, Word, and Outlook software
  • Knowledge of general record keeping and filing systems
  • Knowledge of basic mathematics
  • Ability to add, subtract, multiply, and divide mathematical figures using a calculator (10 key)
  • Ability to meet schedules and deadlines
  • Ability to operate standard office equipment
