Job Description

The Automotive Service and Parts Administrative Assistant helps ensure the overall efficiency, work-flow, and reputation of our Service and Parts operations by providing administrative, clerical support and automotive/parts knowledge for the Service Department. He or she helps optimize the quality, timeliness, and record keeping for the administrative duties associated with service employees and customers.

The ideal candidate has some post high school education or training, at least one year of experience in a similar position, and a working knowledge of automotive servicing/repair and entry level administrative work. Automotive dealership experience is recommended. He or she must have a pleasant and courteous personality, strong administrative and organizational skills, strong phone and computer skills, and excellent communication and interpersonal skills. Basic automotive knowledge is required.


  • Arranges service or repair and sets expectations for cost and completion
  • Ensures that required documentation is complete and is in compliance with regulations and standards
  • Manages inbound phone inquiries and routes calls accordingly
  • Coordinates questions and issues with the appropriate department personnel
  • Provides administrative assistance as needed
  • Performs other duties as assigned


  • High school diploma or GED required; some post high school education or training preferred
  • One year of relevant experience
  • Excellent communication, customer service, and problem solving skills, including the ability to maintain composure under stress
  • Strong organization skills, able to multi-task, and can manage time to meet frequently changing deadlines in a fast-paced environment
  • Helpful attitude and friendly demeanor
  • Highly professional and dependable
  • Excellent telephone skills
  • Strong computer skills, including Microsoft Office (Word, Excel, Outlook) and the internet
  • Industry knowledge preferred
  • One year of dealer-level or large facility experience preferred
